One association system instead of five separate tools

What is an association system?

An association system is the shared software an association runs itself on. Unlike a plain member register, it covers the whole chain: from a new member joining, through dues being collected and paid, to the amount appearing as a ledger entry with the member signed up for a team.

Most associations already have an association system in practice. It just consists of a spreadsheet, a payment provider, a form service, a free website tool and a shared folder nobody owns.

What it should cover

One member register with roles and access, so board, coaches and members see exactly what they should. Automatic dues collection with online payment and follow-up on those who have not paid. Activities, teams and booking of times and rooms, with sign-up and payment in the same flow.

And the part that is often missing: a public website the association can edit itself, real accounting rather than a collection module, and a place for the board's work, minutes, annual wheel and the reports an association must handle properly.

Where we put the weight

We cover the ordinary parts, and put the board's work inside the system rather than beside it. Minutes with agenda, attendance and tasks with an owner. An annual wheel covering the general assembly, deadlines and tasks month by month. Incident reporting with a fixed, confidential route.

The finances are double-entry bookkeeping with VAT, bank reconciliation and export to the auditor, not a collection module with an overview. That is a deliberate choice, because it is otherwise where associations end up with two systems.

Modular, so you do not pay for all of it

There is no single type of association. A sports club, a scout group, a federation and a cultural association use very different parts. So you switch modules on and off and pay by how many users you are.

You can start with members and dues alone, and add activities, webshop, accounting or the board side when the need appears.

What it costs, and what makes the sum come out wrong

The price of an association system is rarely the subscription alone. There are three lines, and the last two are nearly always forgotten when associations compare offers.

The subscription usually follows the association's size. The transaction fee is paid per dues payment and exists whatever the subscription costs, free systems included; in an association with many small dues it is often the largest of the three. And then there are the hours: whatever the system does not do, the board does itself, and volunteer time is the association's scarcest resource, not its free one.

So work out paying members times collections per year times the fee, add the hours, and only then compare. A cheaper subscription with a higher fee is not a cheaper system.

What to check before you sign

Can we get our data out again, in a format somebody can read? It is the most important question and the one least often asked. A system you cannot leave is a decision that binds the next board.

Are the accounts real accounts or a payment overview? The difference only shows when the auditor asks, and until then it costs the treasurer hours every month.

Who can see what? If there is only one administrator role, everybody on the board has access to everything, including what ought to be confidential.

And what happens when something breaks three days before the general assembly? Support is not a feature on a list. It is the only feature that matters that day.
