Terms

The terms that apply to you as a member using the platform through your forening.

Contents

These terms apply to you as a member using Medlemsplatformen through your forening. If you are buying the platform for a forening, the subscription terms apply instead.

1. Who your agreement is with

Medlemsplatformen ApS provides the system your forening uses to keep track of members, subscriptions, activities and messages. We run the system. The forening runs the forening.

Your membership is therefore an agreement between you and your forening, not between you and us. We cannot enrol you, remove you, change your subscription fee or refund you. Those are the forening's decisions, and the forening makes them.

If your question is about the membership, write to the forening. If it is about the platform not working, write to us at info@medlemsplatformen.dk.

These terms do not limit the rights you have under mandatory Danish law, including consumer protection and data protection rules. Where a term conflicts with such a rule, the rule applies.

2. Your account

You sign in with your own email and password. If your forening supports passkeys or two-step sign-in, you can use that instead.

Your password is yours. Do not share it, and do not let others use your account. If you find that someone has been in your account, change the password and tell the forening or us.

You can see and end your active sessions from your profile. We may end a session if we have reason to believe it has been compromised.

3. What you may use the platform for

Use the platform for what your membership is about. Do not use it to send spam, extract other people's data, try to reach places you have no access to, or upload unlawful material.

If we see any of that, we can close the access. We tell the forening why.

4. What you upload

Images, files, comments and answers you put on the platform are yours. So is the responsibility for them: that you are allowed to share them, and that they do not infringe anyone else's rights.

The forening can edit and delete content on its own site. That follows from it being the forening's site.

5. Payments

When you pay a subscription, buy something in the webshop or sign up for a paid activity, you are paying the forening. We provide the means of collection.

You enter card details with the payment provider. They never reach our servers. We get a status and a reference back, and that is all.

Refunds are the forening's decision. Write to them.

6. Subscription fees that renew automatically

If you pay your subscription by card, the payment provider stores your card so the forening can collect the next subscription when it falls due. What it costs, and how often it is collected, are shown on the page before you approve the card.

Approving the card itself costs 0.00. It stores the card, it does not pay the subscription. The subscription is collected afterwards, and you get a receipt for the amount that was taken.

Renewal continues until you leave or the forening ends your membership. You leave through the forening, and you can always write to them and ask for the collection to stop.

The forening sets the subscription and may change it under its own articles. If the forening places you on a more expensive membership than the one you chose when it approves your application, you are asked first. Nothing is collected until you have said yes to the new amount.

7. Administration fee on paid activities

When you sign up for an activity that costs money, a fixed administration fee is added to the price. The amount is shown on the page before you pay, and it is charged once per registration — including when you bring other people with you.

The fee covers what it costs to take a card payment in and to send one back out again. That is why the administration fee is never refunded. This holds whatever the reason the money goes back: whether you cancel in time yourself, the forening cancels the activity, or the forening decides of its own accord to refund you. A refund covers the ticket price and any add-ons — never the fee.

The size of the fee is set centrally for the whole platform and is the same for every forening. An individual forening cannot change it.

8. Cancelling and refunds

The forening decides when you may cancel and still get the ticket price back. The deadline is shown on the activity, and you see it before you pay.

Cancel by that time and you get the ticket price back, less the administration fee. Cancel after it and you get nothing back — your place was counted, and the forening committed on the strength of your signup. If the forening has set no deadline, cancelling pays nothing back.

If the forening cancels the activity, you get the ticket price back regardless of the deadline. You are not the one who changed their mind.

The money goes back to the card you paid with, which usually takes a couple of banking days. Your registration is cancelled at the same time and the ticket stops working.

A forening may always choose to refund you even after the deadline. That is the forening's decision, not ours, and the fee is excluded there too.

9. AI features

If the forening has switched on AI features, the models run on our own hardware. Your text is not sent to an external AI provider.

AI suggests. A person decides. We do not make decisions about you by automated processing alone.

10. Your personal data

Your forening decides what is recorded about you and for how long. We process it on the forening's instructions.

How that fits together, and what rights you have, is set out in the data use statement. What we put in your browser is in the cookie policy.

11. When something does not work

We keep the platform running and fix faults as quickly as we reasonably can. We do not promise you a particular uptime as a member, and we update the system continuously, including during the day.

If something goes wrong, tell us. Faults we are not told about do not get fixed.

12. Our liability

We are responsible for running the platform properly. We are not responsible for what the forening decides, for what other members write, or for services outside the platform, such as your own network or your email provider.

We are not liable for indirect loss. If you have a claim against us, the ordinary rules of Danish law apply.

13. Changes

We may change these terms. If a change is material, we say so on the platform before it takes effect. The version and date are at the foot of the page, so you can see what changed and when.

14. If it ends

If you leave, or the forening stops using the platform, your access is closed. What happens to the data afterwards is for the forening to decide, within the limits set by the data processing agreement and the law. Accounting records are kept for five years plus the current year, because the Danish Bookkeeping Act requires it.

15. Governing law and contact

Danish law applies. A dispute that cannot be settled is decided by Københavns Byret.

This is a translation. The Danish version is the authoritative text and prevails if the two differ.
